PATIENT REFERENCE GROUP MEETING
Thursday 8th March 7pm

1) Chairperson
Request for a volunteer as practice feels that the chair should be a patient as it is the patient’s meeting. Dr Hiscock chaired this meeting, will request a chair for the next.
2) Patient Reference Group Constitution
The Patient Reference Group Constitution was agreed.
Discussed that we can change this at any time at a later date. A copy will be mailed to all the other members.
This will be posted on our website www.rushbottomlanesurgery.co.uk.
3) Survey
Survey was given out by receptionists and placed on our website. PCT also carry out surveys, GPAC survey. Discussed the option of GPs giving the survey to patients. Dr Hiscock not in favour of this as it would not be a random selection. It could be thought that GPs cherry pick the patients. This survey is a starting point of which we find where we need to improve.
We discussed the results for the survey and overall we are very happy. The following were discussed as a result of the survey:
- Members impressed with receptionists manner.
- The old 0870 number still exists. KS to look into this. Should not be used, more expensive than 0844 number.
- Telephone appointments: KS to advertise more. JW check leaflet and website.
- Pre-bookable appointments: KS to advertise more
- Online Bookings: changing system, will be possible then.
- Personal list in operation, GPs like to see their own patients. When a new patient registers, they are allocated a GP. Patients like to see the same GP, unless an emergency. Older patients feel safe with seeing the same GP for continuity of care.
- Waiting time before seen: depends on which GP. Normal appointment time is 10 mins, if more than 1 problem, receptionists should be made aware so more than 1 app can be booked.
- Extended Hours: KS to advertise more as the survey shows patients are not aware of the early morning and late night appointments.
- Members happy with the patient advice leaflets they are given.
- Nurse appointments: the receptionists can advise a patient if a nurse can deal with their problem.
- Nurses and mainly Health Care Assistants do 'Well Person' check ups. We are also inviting people for their NHS Health Checks age 40 – 74.
- More women completed survey than men.
- Car Park: not within our control to expand.
- 0844 number: Government considering issuing new guidelines re these numbers. If call made from a BT line, normal rate applies.
- New 111 number: This new number will be introduced to triage local NHS health services when it’s less urgent than 999. Your call will be triaged, they decide if an Ambulance, walk in centre, Dr visit or to see your GP is the best course of action.
- Appointment Text reminders: with the new system this will be a possibility.
- DNA: The practice write to patients who frequently 'Do Not Attend' their appointments.
- Will not do more than 4 surveys a year.
4) Next Meeting: Before the next meeting, all members will be asked if there is anything they would like to discuss which will be added to the Agenda. The Agenda will be distributed before the meeting.
5) Summary Care Record: basic information is uploaded to the spine, Name, DOB, Medication and allergies.
6) Electronic Prescribing: currently on hold
7) Pharmacy: Having a pharmacy here is not viable. Would have to be open for most of the day. Would not help with parking situation.
8) Newsletter: A newsletter is in the process of being created.
9) The minutes, constitution and results of the survey will be given to the members for approval prior to publication. We will also provide some stats for the whole practice to go with it, male/female and age groups etc.
Date of Next meeting: To be arranged for 3 months time.
